Which documents are worth automating
Good candidates repeat in structure and change only in their data: contracts from a standard template, invoices, acts of completed work, treatment plans, monthly reports, shipping documents. If your team copies the same name, address, amount and date from one system into another, you have found a candidate.
Poor candidates are one-off letters, documents that need a fresh legal judgement every time, and anything produced only a few times a year. Automating those costs more than it saves.
Map every field to its source
| Field | Where it comes from | What can go wrong |
|---|---|---|
| Client name and details | CRM or order | Outdated details, duplicates |
| Items and prices | Order, price list | Discounts typed in by hand |
| Dates and deadlines | Order, calendar | Time zones, public holidays |
| Numbering | Accounting system | Gaps or repeats in the sequence |
If a field has no source and someone types it in every time, decide first where that information should be stored. Automation works on data, not on your team’s memory.
Keep the template, let the system fill it in
AI is useful where messy input has to be read and split into fields, such as an order that arrives by email. The text of the document itself should stay your approved template. That keeps the wording consistent and makes every document quick to check.
- An event starts the process: a new order, a signed deal, the end of the month.
- The system collects the fields from your sources.
- Missing or unusual values are flagged, not guessed.
- A person approves the document.
- The document is sent or saved where it belongs.
Measure minutes per document
Before changing anything, time a typical week: how many documents, how many minutes each, how many corrections after sending. Measure the same three numbers after the change.
Example calculation: 80 invoices a month at 6 minutes each take 8 hours. If filling them in takes no time and checking takes 1 minute each, the work drops to about 1 hour 20 minutes, which frees roughly 6 hours 40 minutes a month. These numbers are invented to show the arithmetic, not a forecast for your business.
What to check before you start
Documents often contain personal data. Check where the files will be stored, who can open them, and what the provider does with the data. Keep the documents in your own storage and accounts, so the process stays yours even if a supplier changes.
